We've gathered the most common questions and answers to help you make the most of ALMA. This section provides practical information on the platform's most important features and applications, from managing your user account and finding products to working with Sets, My selection, and the Converter.

User account

How long will it take for my account to be activated after I register?

After your registration, your account will usually be activated within 24 hours. Please check your email shortly thereafter for a confirmation message.

 

Where can I change the language to my preferred one?

Please open ALMA, click the user profile icon in the upper-right corner, and select "View profile." Then choose your preferred language and save your change.

I entered incorrect information on the registration form. Where or how can I correct it?

How can I delete my account? Will you ensure that my data is completely deleted?

Products

What are active and inactive products? Can I still order inactive products?

Active products are items currently listed in the KLS Martin portfolio. Inactive products are no longer offered and therefore cannot be ordered. We'd be happy to help you find a suitable alternative whenever possible.

Who is the "Author" of a product?

The term "Author" refers to the historical figure associated with a product. This could be the person after whom the product is named, its inventor, or its original developer.

Why isn't there a picture of my product?

We are constantly working to provide product information of the highest quality and as complete as possible. This includes the ongoing expansion and maintenance of our product image library. As a result, there may be instances where images are not yet available for certain products.

Where can I find information about the product?

Select the item you want and click to open the product information. For more information, see "View product attributes". For additional information, please refer to the tutorial "Working with products".

I can't find a product in ALMA. What should I do?

Please check your search terms or the item number you entered first. If you still can't find the product, please get in touch with your customer service representative.

Where can I find the prices for the product?

Please get in touch with your customer service representative with your inquiry.

Where can I find the product's stock availability?

Please contact your customer service representative with your inquiry.

What can I search for in the search field?

Using the full-text search, you can search for product names, terms, or item numbers. The "Author" search field also offers a predefined selection.

In the "Sets" section, you can refine your search by selecting a discipline.

 

My selection

What is "My selection"?

Under "My selection", you'll find a shopping cart-like section where you can temporarily add, manage, and process products and sets.

What does the status in "My selection" mean?

There are three possible status indicators:

  • Conflict – the selection contains incorrect or incomplete data and should be reviewed.
  • Pending – selection processing is not yet complete.
  • Completed – processing of the selection is complete.

What does the selection number I created mean, and can I change it?

The number is assigned automatically and sequentially by ALMA. It can be customized or renamed as needed.

What is the specification report export?

The specification report contains tender texts for selected products and sets. The export can be generated for the entire selection or for individual product groups.

Sets

What is an original set?

An original set is a product group curated and predefined by KLS Martin. It represents an official and maintained instrument configuration for a specific use case within a particular discipline.

What does selecting a region mean? Registration?

Region-specific sets are available for certain regions. These sets consider local requirements or established clinical standards in the respective region.

Can I export images from "Sets" or "My sets"?

Yes.

Converter

How many products can I convert using the quick converter?

The quick converter is particularly well-suited for processing 20 to 30 third-party part numbers, whether in the context of requests for proposals or when comparing competitors' products with KLS Martin products.

What should I do if there is no match in the converter?

If no match is found, you can alternatively search for a comparable product in the KLS Martin portfolio and manually enter the corresponding part number on a case-by-case basis.

Why did my Excel upload fail in the "My selection" or "Converter" section?

Please check the following possible causes:

  • The "Quantity" column must contain at least the value "1".
  • Your Excel file can only contain one worksheet.
  • Identical external item numbers cannot appear more than once.

April 2025: ALMA goes live (1.0.0)

  • A place to browse KLS Martin products, instrument sets, and put together selections for customers
  • Secure sign-in for KLS Martin staff, plus a sign-up and approval process for external users
  • A first version of the competitor product comparison tool
  • Export selections and reports to share with customers
  • Legal pages, terms and conditions, and privacy information
  • Works on desktop and tablet

May 2025: First round of fixes (1.0.1)

  • Product images now show up correctly in exported PDF reports
  • Fixed an export error when the same competitor product appeared twice
  • Corrected an account mix-up that could occur for staff working across multiple company locations
  • Fixed a typo and updated the artwork on the welcome screen
  • Created a handbook so our support team can help if something goes wrong outside office hours

July 2025: Making ALMA sturdier (1.0.2)

  • Closed a gap that let read-only users accidentally make changes they shouldn't
  • Fixed a slowdown that occurred when working with very large instrument sets
  • Fixed an issue where uploading long product lists could temporarily slow ALMA down for everyone
  • Corrected a bug where editing a set could accidentally delete items
  • Made sure exports run reliably even with lots of products included

August 2025: Smarter competitor tools and easy sharing (1.1.0)

  • New dedicated page to search competitor products and instantly see the matching KLS Martin alternative
  • Selections can now be shared with a simple link, instead of a technical code
  • Competitor product codes can be corrected directly on screen, no separate file needed
  • Search and filters became more forgiving and reliable
  • Added loading indicators so it's always clear when ALMA is working on something
  • Removed old personal and patient-related test data from the system as a precaution

January 2026: A new kind of ALMA (2.0.0)

  • Introduced projects, a new way of working with sets beyond just selling them
  • Added an optimizer tool to help improve and streamline existing instrument sets based on "frequency usage markers"
  • Added a standardizer tool to help bring instrument sets in line where overlaps between 2 or more sets are identified
  • Sets can now be uploaded into ALMA and exported back out again via structured files
  • Product data now syncs automatically from our central product system, with built-in protection against accidentally importing patient-related information
  • ALMA is now available in German and Spanish, in addition to English
  • For the first time, external users, not just KLS Martin staff, can use ALMA directly
  • Redesigned the navigation menu to make everything easier to find in line with the new areas on how ALMA is used based on intended use
  • Closed several security gaps identified in a routine check
  • Early design work completed for a future auditor tool to support on-site instrument audits

April 2026: Ready for more languages, extra polish (2.1.0)

  • Completed German and Spanish translations across the entire application, including emails and exported documents
  • Emails are now sent in each user's own language automatically
  • Search now works properly across different languages
  • Product data imports were made more reliable
  • Quick converter tool got a reset button and now remembers your preferred sort order
  • Instrument set exports were made faster and more reliable
  • Fixed several small annoyances in project creation and filtering

August 2026: Help area and fixes (2.2.0)

  • Added a new help icon for quick access to self-support-related content
  • Improved the quick converter to preserve the original product order
  • Corrected translation issues in selection exports
  • Improved access to product details from within selections
  • Product import templates now support row deletion without manually deactivating the sheet restrictions
  • Improved reliability of user notification emails for admin users
  • Better product attribute handling and data quality
  • Improved maintenance of competitor product data
  • Improved Excel exports following product conversions
